JJGF Properties – Property Maintenance & Administrative Assistant

JJGF Properties is seeking a dependable, detail-oriented individual to work closely with the landlord/manager in supporting day-to-day property upkeep, light maintenance, and tenant communication. The position offers variety, flexibility, and the opportunity to learn by doing. It’s ideal for someone who is comfortable with a variety of tasks and thrives in a dynamic environment where no two days are the same.

The right candidate takes pride in cleanliness, enjoys light repair work, is comfortable with computers and recordkeeping, and communicates well with tenants and vendors, under the direction of the landlord.

Key Responsibilities:

Please note: This is a comprehensive overview of tasks. Responsibilities occur on a rotating schedule—some are daily, while others are handled weekly, monthly, or seasonally, depending on need and time of year.

Building Maintenance & Cleanliness

  • Conduct regular walkthroughs to ensure cleanliness and identify maintenance issues

  • Perform light repairs using hand tools (e.g., tightening screws, minor fixes)

  • Clean common areas as needed (vacuuming, washing windows, laundry rooms, stair railings, etc.). General monthly cleaning is usually done by a tenant.

  • Maintain cleanliness and organization of storage areas and garages (including sweeping floors)

Tenant Turnover Support

  • Clean apartments prior to new tenant move-ins

  • Take detailed move-in and move-out photos of each unit

  • Complete and file landlord check-in/check-out forms

  • Prepare apartments using standardized checklists to ensure readiness

Seasonal & Safety Duties

  • Maintain full salt buckets and place/remove them seasonally

  • Stack water softener and sidewalk salt for winter

  • Test and document monthly checks of common area smoke detectors and fire extinguishers

Building Operations

  • Update mailbox and doorbell nameplates at the Hartwell building

  • Post building and tenant notices as needed

  • Monitor parking lots for compliance and cleanliness

Vendor & Tenant Communication

  • Communicate with tenants regarding basic issues, as directed by landlord

  • Coordinate with vendors and service providers, as needed and approved by landlord

Supply & Inventory Management

  • Maintain and restock inventory of cleaning and maintenance supplies

  • Shop for necessary maintenance items at Menards, Home Depot, or similar

Office & Administrative Duties

  • Process, log, and deposit rent payments

  • Maintain rent rolls and accurate tenant payment records

  • Keep current and organized tenant files (paper and electronic)

  • Prepare rental agreements via DocuSign; print and file hard copies; save digital copies

  • Draft and send tenant memos, building notices, and emails

  • Maintain key lists, parking assignments, and garage door remote inventories

  • Pick up and sort property mail; open and date incoming correspondence

  • Submit Menards rebates and track responses

  • File, scan, and shred documents as needed

  • Maintain calendar of key property and tenant dates

  • Track and update lease renewal and expiration schedules

  • Keep tenant forms updated and accessible while on-site

General Duties

  • Assist with miscellaneous property-related tasks as needed

  • Check in with landlord daily for task planning and updates

Qualifications

  • Basic handyman skills and experience with small tools

  • Ability to lift moderate weight (e.g., salt bags)

  • Strong attention to detail and organizational skills

  • Good communication and customer service mindset

  • Valid driver’s license and reliable transportation

  • Competent using a computer, email, spreadsheets, and basic office software

  • Ability to work independently within a daily, weekly, and monthly task structure

  • Capable of identifying problems and offering possible solutions

  • Willingness to travel regularly between Waukesha and Hartford buildings

  • Flexible with work hours and responsive to changing workflows
